How we handle information when you visit rapido.co.nz, sign up for the newsletter, contact us, or use the Rapido platform.

What this policy covers
This policy explains how Holt Web Solutions Limited ("Rapido", "we") collects, uses, stores, discloses, and protects personal information when you use our public website (rapido.co.nz), our platform (app.rapido.co.nz), and our connected services. We comply with the New Zealand Privacy Act 2020 and the thirteen Information Privacy Principles (IPPs).
Information we collect
Information you give us directly
- Contact details (name, work email, phone, company) when you fill in a form, request a demo, subscribe to our newsletter, or email us.
- Account details (name, role, work email) when your business onboards onto Rapido.
- Free-text content you provide (e.g. what you wrote in a contact form).
Information we collect automatically
- Server access logs (IP address, user agent, referring URL, timestamps) for security and abuse prevention.
- Aggregate analytics (page views, traffic sources, device class) when our analytics provider is enabled. We do not run advertising trackers.
- Functional cookies for the platform (session, CSRF). We do not use third-party advertising cookies on rapido.co.nz.
Information your business sends through Rapido
- Data drawn from your Accredo company file via the Rapido SDK or Rapido MCP server, including customer/debtor records, supplier/creditor records, products, orders, and financial transactions, to the extent your administrators connect those modules.
- Documents (e.g. inbound POs, invoices, remittances) processed through AI workflows you choose to enable.
How we use it
- To run and improve the Rapido platform and the public website.
- To respond to your enquiry, deliver a demo, or fulfil a contract with your business.
- To monitor service health, prevent abuse, and meet our security obligations.
- To send relevant product updates if you've opted in. You can unsubscribe from the newsletter at any time using the link in the email.
We do not sell personal information. We do not share it with advertisers.
Where it lives
Rapido infrastructure runs on Amazon Web Services in ap-southeast-2 (Sydney) by default. Some operational tooling (HubSpot for CRM, Netlify for static hosting) processes limited data in their own jurisdictions; we have data-processing agreements in place where required.
How long we keep it
- Marketing-form submissions: 24 months from last interaction unless you ask us to delete sooner.
- Server logs: 90 days.
- Customer-account and transaction data: as long as the contract runs, plus the period required by NZ tax/business records law (typically 7 years for financial records).
Sub-processors we rely on
- Amazon Web Services — application hosting (Sydney).
- Netlify — public website hosting.
- HubSpot — CRM, contact-form intake, marketing email.
- Anthropic / OpenAI — only when you explicitly enable an AI workflow that uses their models. No customer data is sent to either provider unless you opt that workflow in.
- Cloudflare — DNS and edge caching for some endpoints.
Your rights under the Privacy Act 2020
You have the right to:
- Ask what personal information we hold about you (Principle 6).
- Ask us to correct it if it's wrong (Principle 7).
- Withdraw consent for marketing email at any time.
- Complain to the Office of the Privacy Commissioner (privacy.org.nz) if you think we've got it wrong and we haven't fixed it.

Cookies
We use a minimal set of first-party cookies for the platform (session, CSRF) and an optional analytics cookie. We do not run third-party advertising or cross-site tracking cookies on this website.
Changes to this policy
We update this policy when our practices change. The "Effective" date at the top tells you when the current version was published. Material changes will be announced on the website or by email to active customers.
